Sr. Production Coordinator/Manager

The Sr. Production Coordinator/Manager serves under the Producer, to coordinate the various groups and personnel that come together in production. The position requires adept organizational skills, resourcefulness and the ability to handle a multitude of tasks simultaneously under often high-pressure situations. The Production Coordinator/Manager serves as the gatekeeper of company policy and is responsible for ensuring the rest of the production crew follows the requirements of the Studio. The Production Coordinator/Manager is responsible for the day to day communication between production departments, the centralization of the production information and the tracking of production progress.

Duties and Responsibilities
 Perform cross-departmental production coordinating duties as needed on the
productions; follow and complete tasks as requested by studio management team
including working on asset tracking, production scheduling, team and client
communications. Support Producers and VFX supervisor with project tracking specifically
 Keep production team up to date regarding departmental project progress and share important updates or risks pertaining to the project; track progress through established mechanisms and stay up to date with project workflow standards within the studio
 Work with and communicate with studio management team and Leads and Artists to proactively resolve production challenges and keep projects on track.
 Foster a positive and collaborative working atmosphere focused on team and project success. Lead by example and promote good team morale by leading with integrity, being a strong communicator and solving problems proactively
 Follow and maintain a clean and organized directory structure as outlined by Goldtooth workflow standards. Follow Goldtooths’ stages of production standards for all workflow elements.
 Organizes, attends and actively participates in project reviews such as Dailies or Creative Director reviews as needed.
 Monitor Artists’ daily progress with regular check ins, follow ups, and meetings with the department leads to ensure the project is on schedule.
 Track progress of shots and help facilitate problem solving within the production
 Populate Shotgun management software and maintain it on a daily basis.
 Provide pertinent information to artists such as task schedules, review notes, delivery milestones, reference elements and assets needed for any given tasks
 Takes clear and accurate notes at Dailies, Rounds, Client Reviews and all pertinent
meetings, and disseminates these notes to all necessary parties in timely manner.
 Maintains constant communication with various infrastructure departments in the studio with regards to specific needs of the shows
 Manages and organizes periodic shipments to and from clients and vendors via ftp and/or regular mail

 Help to monitor the render farm and change job priorities as per the Producers request.
 Provides accurate, up to the minute reports to the Studio Executive Producer and the rest of the Production team to ensure a tight delivery schedule and accurate overall production schedule.
 Assists the Office Manager with phone reception coverage and client meeting
preparation, where needed

 1-3 years of experience coordinating on at least two significant projects of 80+ shots in an established VFX facility
 A solid understanding of CG production pipelines and post production in general is needed, along with a willingness to learn
 Excellent people skills and a proven ability to work in a team environment and deliver performance feedback, where needed
 Strong project management skills and a sensitivity towards deadline related deliveries-anticipates problems and always presents solutions to those problems
 A strong familiarity with standard Microsoft office applications is essential, especially Excel and Word, with further knowledge in Filemaker Pro and Microsoft Project being advantageous. Production experience in Shotgun an asset.
 An ability to handle multiple tasks under varying degrees of pressure is essential. The ideal candidate will have previous VFX production experience, a deep understanding of the VFX pipeline and must work well in a team environment with tight deadlines

The following would be considered an asset:
 Render queue management (Rush)
 experience of computer animation production and/or 3D software and/or rendering systems desirable
 Disaster Recovery planning, implementation and testing
 High Availability and failover scenarios, load balanced environments
